This notice explains how Polymath Tuition ("we", "us", "our") collects and uses personal data when you visit polymathtuition.com, enquire about tuition, book a free assessment or download our free resources. We comply with the UK GDPR and the Data Protection Act 2018.
1. Who we are (data controller)
Polymath Tuition is the data controller of the personal data we collect through this website. You can contact us at info@polymathtuition.com or on 07824 511798.
2. What data we collect
- Enquiry & booking data you submit via our forms: parent name, student name, year group, subject(s), current/target grade, exam board, tuition format, email, phone, message.
- Lead-magnet data: name and email when you download our free GCSE revision pack.
- Correspondence: emails, WhatsApp messages and calls you send us.
- Technical data: with your consent, anonymised analytics from Google Analytics 4 (pages viewed, referring site, approximate location, device type). We do not use advertising or cross-site tracking cookies.
We do not knowingly collect data from children under 13 directly. Enquiries about tuition should be submitted by a parent or guardian.
3. How we use your data and the lawful basis
- To respond to your enquiry, arrange a free assessment and deliver tuition — legitimate interests and, where a service is agreed, performance of a contract.
- To send you the free resources you requested and occasional follow-up emails about our tuition — consent (given when you submit the form). You can withdraw consent at any time via the unsubscribe link.
- To measure and improve our website using anonymised analytics — consent, managed through our cookie banner.
- To meet legal, safeguarding and accounting obligations — legal obligation.
4. Who we share data with (processors)
We only share data with trusted processors who help us run the service. These currently include:
- Google (Google Analytics, Google Fonts, Google Maps) — website analytics and embedded content.
- Calendly — booking of free assessments.
- Resend — sending transactional email confirmations from info@polymathtuition.com.
- Zapier & Google Sheets — receiving and storing enquiry submissions so we can respond.
- Cloudflare / Lovable — website hosting and delivery.
Where a processor is based outside the UK/EEA (e.g. in the United States), transfers are protected by the UK International Data Transfer Addendum, EU Standard Contractual Clauses or an equivalent safeguard. We do not sell your personal data.
5. How long we keep it
- Enquiries that do not lead to tuition: up to 24 months, then deleted.
- Active tuition clients: for the duration of tuition plus 6 years for accounting/legal reasons.
- Marketing/newsletter subscribers: until you unsubscribe.
- Analytics data: aggregated and retained by Google for up to 14 months.
6. Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate data.
- Ask us to delete your data ("right to be forgotten").
- Restrict or object to processing based on legitimate interests.
- Withdraw consent (for marketing or analytics) at any time.
- Request data portability.
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

8. Security
We use encryption in transit (HTTPS), access controls and reputable processors to protect your data. No online service can be guaranteed 100% secure, but we take reasonable steps to safeguard it.

We may update this policy from time to time. Material changes will be highlighted on this page with a revised "Last updated" date.
